Terms and Conditions

On booking your stay with us at The Paddock Pods, you are entering a legally binding contract with us, and are confirming that you agree to our terms & conditions, we ask that you read them fully before making your booking.
Once you have made your booking, please check your confirmation email to ensure no mistakes on booking have been made. If there is anything incorrect please contact us by email immediately.
We strongly recommend that you take out your own travel insurance.
The lead guest (person making the booking) is responsible for ensuring that all terms and conditions are adhered too. The lead guest must be over 18yrs old at the time of booking.

Bookings

Bookings will not be confirmed until payment is made-
For bookings made 28 days or more before the date of arrival, a 50% deposit will be required to secure the booking. The remainder must then be paid no later than 28 days before arrival, we will send a reminder email 7 days before the due date. If payment isn’t made we will assume that the lead guest has cancelled and no refund will be given.
For bookings made 28 days or less before arrival and bookings for 1 night stays payment in full must be made for the booking to be confirmed.

Cancellations

If a guest decides to cancel their booking, they need to do so at least 14 days prior to arrival by email, stating their name, address and arrival/departure dates.
We will do our upmost to fill the dates cancelled, if we are successful in doing this at the full amount of your booking we will refund that amount minus a £20 admin fee.
If we’ve had to reduce the cost for the new booking for us to be able to fill the dates cancelled you will only be refunded the lastminute booking price minus a £20 admin fee .
If the cancellation is made less than 14 days prior to arrival no refund will be given.
No shows will not receive a refund.

Alterations to bookings

If guests want to change the dates of their stay, the lead guest must request this at least 28 days before arrival by email, where possible we will do our best to accommodate the guests requests to change dates, we are not obliged to change dates after bookings have been confirmed, therefore if we cannot do this no refund will be given.

If we have to cancel your booking this would only be done if a problem occurred that meant the accommodation would not be fit for purpose, if this happened we would offer alternative dates, if you could not make the alternative dates then a full refund would be given

Force Majeure

If we are forced to cancel your booking due to unprecedented circumstances beyond our reasonable control, then in the first instance we will try to find suitable alternative dates, however we will not be able to offer any refunds and we will not be liable for any expenses incurred.
Such circumstances/events include (but are not limited to)- war, terrorism, acts of god, acts of parliament/government/local government, epidemics and pandemics, hence we strongly recommend taking out insurance to cover this.

Liability

The Paddock Pods does not take any responsibility however caused for any loss, damage or theft to guests belongings whilst on site.

Check in/check out

Check in is from 3.30pm, we ask that if possible you can give us an estimated time of arrival, so that we can be on site to meet you, otherwise please contact 07767821038 once you arrive.
Check out is by 10am. Please contact 07767821038 on departure, we will come and collect your keys from you.
Please ensure that the pod is left in a clean, tidy state and that any damages/breakages are reported to us, other than expected ware and tare. The lead guest will be liable for any damage caused and will be charged accordingly.
All fixtures and fittings inside and outside of the pod remain the property of The Paddock Pods and must not be removed by the guests, these include but are not limited to- all pots, pans, cutlery, bedding, towels, bathrobes, toiletries.
If the keys are lost or not returned to us on departure there will be a charge of £50

Parking

Please use the designated ‘pod’ parking area. Trollies will be available to help you take your luggage to the pod, please return them to the parking area after use. Vehicles are left at your own risk, we do not accept any responsibility for any loss, damage or theft whilst on the site.

Smoking

Strictly no smoking in the pod/s, this includes e-cigarettes, if you smoke outside the porch area please ensure the pod door is closed, all cigarette butts must be disposed of correctly in the bins provided, extra charges will be incurred if this is not adhered too. Anyone found to be smoking in the pod will be asked to leave immediately and no refund will be given.

Additional guests

Only guests named on the booking form are permitted to stay overnight in the pod, additional day guests are allowed as long as pre-arranged with ourselves and that it meets with any current government guidelines regarding Covid and the number of guests is kept to a minimum. Day guests are NOT allowed to use the hot tub.

Noise

We ask that guests are respectful of other guests on site and keep the noise to a minimum, therefore we ask that you do not use the hot tub after 10.30pm

Fires

We ask that guests only use the bbq’s and fire pits that are supplied by ourselves. We provide sufficient wood for the hot tub & fire pit but if additional is required this can be supplied at extra cost. Please ensure you read and fully understand the instructions for lighting and heating the hot tub, if you are unsure of anything please let us know, we are on hand and happy to help. Guests must read the full terms, conditions & instructions for the hot tub & fire pit before using, these can be found in the welcome book and they are also part of the booking agreement.

WIFI

There is WIFI on site, however we cannot guarantee the strength of the connection, the password can be found in the welcome book.

Complaints

Our aim is for all of our guests to have an enjoyable, relaxing stay with us, however if any issues were to arise, we ask that guests inform us immediately, so that we can rectify any problems. If issues haven’t been brought to our attention during your stay no refunds or partial refunds will be made after your stay has ended.
